Company Administration

Overview

The LinkWeb Application Portal's Company Administration module is a foundational component designed to manage an organisation's core operational settings and structural data within the LinkSOFT environment. It provides essential tools for setting up and maintaining company-specific information, configuring application behaviours, managing automated processes, and ensuring consistency across a multi-company setup. This module is crucial for tailoring the LinkSOFT system to meet the unique administrative and operational requirements of each company.

  1. Company Setup and Details: This feature allows for the creation and maintenance of fundamental company information. Users can define a unique Company ID, along with the Registered Name and Trading Name. It also includes fields for the Tax ID, multiple address lines (physical and postal), city, post code, and various contact details such such as phone, fax, support phone, website, and email. Additionally, it manages sales tax rates, the home currency code, and a "Notes" section for open-text descriptions. Companies can be marked as "Disabled" to deactivate them from active lookups.

  2. Configuration Settings: The module is a central point for configuring various application-wide and module-specific settings. This includes general configurations for Link Web applications, such as defining the Default Login Landing Page to direct users to dashboards or specific views upon logging in. It also manages Human Resource Management configurations like the "Next Employee/Applicant Education Code" and "Next Employee/Applicant Memo ID", and Point of Sale settings. The system records changes to configuration values in a "Notes" section. Other settings include email configurations, such as using different email settings for each company.

  3. Dropdowns Management: Within Company Administration, users can maintain various dropdown lists used throughout the LinkSOFT applications. An example of this is the "City" dropdown, where valid city names can be defined and managed. This ensures consistency in data entry for geographical information across different modules.

  4. Document Templates: This functionality enables the creation and maintenance of document templates. These templates are crucial for standardising communications, reports, and other documents generated within the LinkSOFT system. The display order of these templates can be managed, and the system ensures that deleted templates do not appear as active options in the editor.

  5. Processes and Automation: The "Processes" menu within Company Administration is vital for managing background tasks and system automation. It allows for the scheduling and execution of various processes, including system health checks, database management tasks like backup and rebuilding indexes, and other automated functions. Efforts have been made to clean up and improve this menu for better user understanding and management, consolidating common tasks and providing clear descriptions. It can display the "Waiting for next Run" countdown for scheduled processes. The system can send alerts, showing the first 500 characters of the "Log Data" for administrators to quickly understand event details.

  6. Multi-Company Support: The module is designed to operate effectively in a multi-company environment, allowing for the management of multiple distinct companies within a single database instance. This includes the ability to apply configurations and manage master data on a company-specific basis, ensuring that data and settings are isolated and relevant to each entity.

  7. Access Control and User Management Integration: Company Administration integrates with user security settings, specifically impacting who can modify company-related data. For example, a new access right allows administrators to control who "Can Edit Company" details within the "User Maintenance" form's "Company Tab", enhancing data integrity and security in multi-company setups.

  8. News Bulletin for Home Page: The module supports the configuration of a News Bulletin for the LinkSOFT Home page. This feature allows companies to convey important messages to their users directly on the login screen, acting as a "Notes/Comments like structure" for broad communication.
